STORAGE OF YOUR DATA

Where possible and practicable, we process and store your data in Canada. We use Supabase and comparable providers to host our servers and data. Some of our service providers operate, or store or process data, outside Canada, including in the United States. Where your personal information is collected or stored by a service provider outside Canada, or transferred to one, it may be accessible to the courts, law enforcement, regulators, and national security authorities of that country under the laws of that country, and the privacy protections available may differ from those in Canada. You may obtain written information about our policies and practices respecting service providers outside Canada — including the countries in which collection, use, disclosure, or storage occurs or may occur, and the purposes for which each service provider is authorized to handle personal information — by contacting our Privacy Officer using the contact details at the end of this Privacy Policy. Our Privacy Officer is also able to answer your questions about the collection, use, disclosure, or storage of personal information by service providers outside Canada on our behalf.

BREACH NOTIFICATION

Where an incident involving the loss of, or unauthorized access to or disclosure of, personal information under our control occurs, and a reasonable person would consider that there exists a real risk of significant harm to an individual as a result, we will provide notice to the Information and Privacy Commissioner of Alberta without unreasonable delay. We will notify affected individuals where the Commissioner requires us to do so, where notification is required under law, or where we determine that notification is appropriate. Nothing in this Privacy Policy restricts our ability to notify individuals on our own initiative.

CHOICES ABOUT YOUR DATA

You can control the collection and use of your data including with: browser and device choices, including by setting your browser to refuse cookies; opting out of third-party advertising, by providing us notice in accordance with the notice provision at the end of this Privacy Policy; and opting out of marketing communications, by using the unsubscribe link in any commercial electronic message we send you or by providing us notice in accordance with the notice provision at the end of this Privacy Policy.

To withdraw your consent to an optional purpose, or to withdraw your consent generally, please provide us notice in accordance with the notice provision at the end of this Privacy Policy. Withdrawing consent to an optional purpose does not affect your access to the Platform. Withdrawing consent to a purpose that is necessary for us to provide the Platform means that we can no longer provide it to you, and we will tell you the likely consequences before giving effect to your withdrawal.

DATA SECURITY

We use physical, electronic, and administrative measures to help secure your data from accidental loss and from unauthorized access, use, alteration, and disclosure. The safety and security of your information also depends on you. You are responsible for your profile on the Platform and for keeping your password confidential. The transmission of data via the internet is not completely secure and we cannot guarantee the security of your data on the Platform. Any transmission of data is at your own risk.

DATA RETENTION

Except as otherwise permitted or required by applicable law or regulation, we will only retain your data for as long as we reasonably require it for legal or business purposes, including for the purposes of satisfying any legal, accounting, or reporting requirements. Within a reasonable period of time after we no longer reasonably require your personal information for legal or business purposes, we will destroy the records containing it or render it non-identifying so that it can no longer be used to identify you. We reserve the right to use anonymized and de-identified data for any legitimate business purpose without further notice to you or your consent.

ACCESSING AND CORRECTING YOUR DATA

It is important that the data we hold about you is accurate and current. Please keep us informed if your data changes. By law you have the right to request access to it and to correct the data that we hold about you. If you want to review, verify, correct, or withdraw consent to the use of your data you may send us written notice in accordance with the notice provision at the end of this Privacy Policy. We may not accommodate a request to change data if we believe the change would violate any law or legal requirement or cause the data to be incorrect. We may request specific information from you to help us confirm your identity and your right to access the data, and to provide you with the data that we hold about you or make your requested changes. Applicable law may allow or require us to refuse to provide you with access to some or all the data that we hold about you, or we may have destroyed, erased, or made your data anonymous in accordance with our record retention obligations and practices. If we cannot provide you with access to your data, we will inform you, subject to any legal or regulatory restrictions.

We will respond to a written access or correction request within 45 days of receiving it. We may extend that period by up to a further 30 days where your request does not give us enough detail to identify the record, where a large amount of personal information is requested or must be searched, where meeting the deadline would unreasonably interfere with our operations, or where we need more time to consult another organization; if we extend, we will tell you why, when to expect our response, and that you may ask the Commissioner to review the extension. We may charge a reasonable fee for access to your personal information, but not for a correction request; if we intend to charge a fee, we will give you a written estimate before we do the work. If we correct your personal information and we have already disclosed the incorrect information to another organization, we will send that organization the correction where it is reasonable to do so; if we decide not to make a correction you have asked for, we will annotate your information with the correction requested.
